At OCVA, we are committed to providing high-quality programming while maintaining fair and transparent policies for all families. Please review the following guidelines carefully before registering for any program.

Camps & Clinics

Refund, Cancellation & Attendance Policy

The following policies apply to all OCVA camps, clinics, and seasonal programs. We encourage families to review these terms before completing registration.

Program Refund & Cancellation

Withdrawal Timeline

More than 2 weeks before start

Full Refund

Full refund less a $20 administrative fee, or a full credit toward any future OCVA program.

Within 2 weeks of start date

50% Refund

50% refund of the registration fee less a $20 administrative fee, or a full credit toward any future OCVA program.

After program has started

No Refund

No refunds will be issued once the program has begun. In certain circumstances, participants may be eligible for a pro-rated credit toward a future OCVA program.

Missed Sessions Policy

Missing a Session After a Program Has Begun

If a participant must miss a session due to a reasonable circumstance (such as illness or injury), please follow the guidelines below.

Notification Required

Families must notify us at least one (1) week before the missed session, or no later than one (1) week after the missed session.

Credit Eligibility

Eligible participants will receive a credit toward a future OCVA program for reasonable circumstances such as illness or injury.

Multiple Missed Sessions

Missing more than one session is not eligible for credit, unless the circumstance is exceptional and has been reviewed and approved by our Customer Support Team.

Important Notes

  • Credits are non-transferable and cannot be redeemed for cash.
  • Credits must be used toward future programs only and may be subject to an expiration date.
  • All refund and credit requests must be submitted in writing to our Customer Support Team.
